This module lists the mandatory onboarding requirements to create and activate your KWIC WhatsApp Business API account. This is also called a WhatsApp Business Account (WABA). Prepare the items below to speed up approval, verification, and activation.

Before you start

Have these ready so onboarding doesn’t stall:

  • Admin access to your Meta Business Manager.

  • Access to the phone number for OTP (SMS or voice call).

  • A live website that clearly shows your business identity.

  • A domain email that matches your business domain.

  • Meta Business Manager account (admin access)

  • Meta business verification documents (GST preferred)

  • A dedicated phone number (not used on WhatsApp or WhatsApp Business)

Verification and activation timelines vary by business profile and document quality. Most delays come from mismatched business details, phone number issues, or missing website signals.

To reduce delays:

  • Use the same business name/address everywhere (Meta, website, documents).

  • Use a dedicated number that can receive OTP.

  • Ensure your website has clear business identity and contact details.

Meta (Facebook) Business Manager Account

A Meta Business Manager account is required to use the WhatsApp Business API through KWIC.

  • This account is used to manage:

    • WhatsApp numbers

    • Message templates

    • Billing and permissions

  • Business details (name, address, phone number, email address) must be correct and consistent.

  • Admin access is required to complete setup and verification.

Meta Business Verification

Meta business verification is mandatory to confirm your business and enable WhatsApp Business API access.

Accepted verification documents:

  • GST certificate (highly preferred)

  • Certificate of Incorporation

  • Trade license (or any valid government-issued document)

Important note on GST verification:

A GST certificate is preferred because Meta typically approves it faster. All details in the GST certificate must exactly match the details in:

  • Meta Business Manager

  • Business phone number

  • Business email address

  • Business website

Any mismatch may cause verification delays or rejection.

Dedicated Phone Number

A dedicated phone number is required for your WhatsApp Business API / WABA setup.

  • The number must not be linked to any existing WhatsApp or WhatsApp Business account.

  • It will be used only for WhatsApp Business API communication.

  • The number must be able to receive OTP via SMS or voice call during verification.

Once activated, this number cannot be used in the standard WhatsApp apps.

Website & Business Email

A valid business website and official business email address are required.

Website requirements:

  • Must clearly represent your business

  • Should include:

    • Business name

    • Products or services

    • Contact details

    • Privacy policy (recommended)

Business email:

  • Use a domain-based email address (example: [email protected]).

  • Free email services (Gmail, Yahoo, etc.) often cause verification delays.

Credit Card for Payments

A valid credit card is mandatory for Meta billing and WhatsApp Business API activation.

  • Used for WhatsApp conversation charges

  • Billing is handled directly by Meta

  • Charges depend on message category and usage

Without a credit card, WhatsApp Business API activation is not possible.

All businesses must follow WhatsApp and Meta policies to use the WhatsApp Business API.

  • KWIC provides secure login access to the platform

  • Admin users can manage:

Device Login & Security

Your first login is granted directly.

When you log in from a new device, KWIC may require two-step verification.

Troubleshooting

Meta business verification is rejected

  • Re-check that your document details match Meta Business Manager details exactly.

  • Ensure your website business name matches your verification document.

  • Remove spelling differences (for example, “Pvt Ltd” vs “Private Limited”).

Phone number already used on WhatsApp

  • Use a fresh number that is not linked to WhatsApp or WhatsApp Business.

  • The number must be able to receive OTP via SMS or voice call.

Website is not accepted

  • Ensure the website is live and shows your business name, services, and contact details.

  • Add a privacy policy page (recommended).

Billing card is missing or failing

  • WhatsApp Business API activation requires Meta billing.

  • Add a valid card and re-try activation.
