Create users, assign roles, and set permissions.

KWIC uses role-based access control (RBAC) to secure templates, campaigns, chats, and automations.

What you can manage in Team Management

  • Invite users (team members, chat agents, operators).

  • Assign roles and permissions (RBAC).

  • Edit user details and roles.

  • Remove users and revoke access.

Common team management tasks

  • Add a new user: invite them by email and assign a role.

  • Change a user role: edit the user and update their role.

  • Remove a user: revoke access immediately.

  • Limit access: use the smallest role that fits the job (RBAC).

Open Team Management

  1. Log in to your KWIC Dashboard.

  2. Go to Settings → Team Management (also labeled Manage Team in some menus).

Invite, edit, or remove users

From Team Management, you can invite users, edit users, or remove access.

Invite users (team members) to KWIC

Invite Member lets administrators add new users with role-based access.

This is the standard flow to onboard operators, managers, and admins.

How to invite a user

Open Invite Member

  1. Go to Settings → Team Management.

  2. Click Invite Member.

Provide user details

Enter the following details:

  • First name

  • Last name

  • Email address

Assign a role and send the invite

  1. Select a Role from the dropdown.

  2. Click Invite Member.

The team member receives an email invite to join KWIC.

KWIC roles and permissions (RBAC)

KWIC uses role-based access control (RBAC) for secure team operations.

Assign the smallest role that still lets the user do their job.

Available roles in KWIC

Quick role picker

Use this when you’re not sure which role to assign:

  • Only replies to customer chats → Operator

  • Routes and monitors chats → Chat Manager

  • Builds BotFlows and automations → Automation Manager

  • Manages templates → Template Manager

  • Runs broadcasts → Broadcast Manager

  • Maintains contacts → Contact Manager

  • Manages settings and users → Administrator

Administrator

  • Full access to all features.

  • Can manage users, roles, settings, and automations.

Best for owners and system admins.

Template Manager

  • Can create, edit, and manage message templates.

  • No access to system settings or billing.

Use this role for teams working in KWIC Templates.

Broadcast Manager

  • Can create and send broadcast messages.

  • Can monitor broadcast performance.

  • Cannot manage templates or automations.

Use this role for teams running KWIC Campaigns.

Contact Manager

  • Can add, edit, and organize contacts.

  • Cannot send broadcasts or manage BotFlows.

Use this role for teams maintaining audiences in KWIC Contacts.

Operator

  • Can respond to customer chats.

  • Limited to chat-related features.

Best for support agents who only handle inbound conversations.

Chat Manager

  • Can manage chats and assign conversations to operators.

  • Can monitor chat performance.

  • No access to automations or system settings.

Best for supervisors who assign chats and monitor SLAs.

Automation Manager

  • Can create, edit, and manage BotFlows and automations.

  • No access to billing or administrative controls.

Use this role for teams building automations in KWIC Automations.

Edit or remove users

Administrators can update or revoke access at any time.

Steps to edit or remove a user

Open Team Management

Go to Settings → Team Management.

Select a user

Select the user you want to update or remove.

Choose Action

  • Edit to update the role or details.

  • Remove to revoke access.

Changes are applied immediately.

Security and access control best practices

  • Each user has their own login credentials.

  • Permissions follow the assigned role.

  • You can revoke access instantly when needed.

  • Enable two-step verification for extra security.

If you manage WhatsApp support at scale, assign Operator roles to chat agents. Use Chat Manager for supervisors who route and monitor conversations.

FAQ and troubleshooting

Who can invite and manage users?

Typically, administrators manage users and roles.

Use an account with access to Settings → Team Management.

I can’t see Invite Member. Why?

Your role likely doesn’t include user management permissions.

Ask an Administrator to invite you or update your role.

How do I change a user’s role?

Open Team Management.

Select the user.

Click Edit and update the role.

A user didn’t receive the invite email. What should I do?

  1. Confirm the email address is correct.

  2. Ask them to check spam or quarantine folders.

  3. Try inviting again if the invite was blocked.

What happens when I remove a user?

Their access is revoked immediately.

They can’t log in or use features in your KWIC account.
