Create, preview, and manage WhatsApp message templates in KWIC Template Library, including headers, body content, footer, buttons, and Meta approval.

KWIC Template Library

Use KWIC Template Library to create and manage WhatsApp message templates. These templates are used with the WhatsApp Business API (WABA).

You can:

  • Search templates by name

  • Filter templates by industry and use case

  • Preview message content before using it

  • Reuse templates in campaigns and automations

It also previews dynamic variables (placeholders) in the message.

Create and submit a WhatsApp message template in KWIC (flow)

Log in and open Template Library

  1. Log in to your KWIC account.

  2. Open TemplatesTemplate Library.

Select a template and preview it

  1. Choose a predefined template, or use filters to find one.

  2. Click the template to preview the message content.

Configure the template header (optional)

If you do not need a header, select None.

Text header

  • Select Text.

  • Enter your header text.

  • The header must be 5 to 60 characters.

Image header

  • Select Image, then upload a file.

  • Maximum image size is 5 MB.

Video header

  • Select Video, then upload a file.

  • Maximum video size is 16 MB.

Document header

  • Select Document, then upload a file.

  • Maximum document size is 30 MB.

If the file exceeds the size limit, reduce the file size and upload again.

Edit the template body

The body message is pre-filled. Edit it if needed. Update any variables (placeholders) in the sample content.

A footer is a short line of text at the bottom of your message template.

Configure WhatsApp template buttons (optional)

Buttons may already be included in the template. Edit them if needed.

Button types:

  1. Quick reply button: Lets the user reply with one tap instead of typing.

    • In this type, you can add only two buttons.

  2. Call phone number button: Lets the user call a predefined number.

  3. Visit website button: Redirects the user to a website or web page.

    • When adding this button, select the website type:

      • Static Website – Opens a fixed URL that remains the same for all users.

      • Dynamic Website – Opens a URL with variables (such as order ID, user ID, or tracking link) that change based on the recipient.

  4. Copy offer code: Copies a predefined offer or coupon code to the clipboard.

  5. Flow button: Create a flow first, then enter the Flow ID.

  6. Order detail button: Adds order-related details/actions to the message.

Submit the template for approval. Meta reviews the WhatsApp message template. Meta approves it if it meets the guidelines.

Best practices (faster approval)

  • Keep header text within the character limits.

  • Use working URLs and valid phone numbers in buttons.

  • Add clear example values for placeholders in the sample content.

  • Avoid extra symbols or repeated punctuation in the message.

Meta approval checklist (common rejection causes)

  • Match the correct template category (Marketing, Utility, Authentication).

  • Provide sample values for every variable (placeholder).

  • Use valid URLs and phone numbers in buttons.

  • Keep the message intent consistent (don’t mix unrelated content).

  • Avoid spammy formatting (repeated punctuation, excessive emojis).

Meta approval notes

  • WhatsApp message templates are pre-approved message formats for WABA.

  • Approval time varies. If a template is rejected, update it and resubmit.

  • Most rejections come from category mismatch, missing sample values, invalid button details, or policy issues.

Conclusion

Once Meta approves your WhatsApp message template, it becomes available in your Template Library for sending campaigns and automation messages.

If Meta rejects the template, review the rejection reason, update the header/body/buttons as needed, and submit again.
